Having finally designed the invoice template, you'll have to print it. Here, again, you have some options. For one, you may simply customize your invoice template and print the invoice within your office, and submit them to your customer. You may even electronically transmit your invoice, using the email. At times, you may need to provide blank invoices to your servicing staff, enabling them to prepare invoices on the spot and to hand them over to customers for collecting payments. You may also consider having a combination of all these.
First, you should identify what your template needs. At a minimum, your invoice should include certain elements, such as your company's name and address, customer's contact information, description of services provided, and the agreed cost for the services you provide. More advanced invoices may include your company's logo, terms of payment, and itemization of goods and services provided. Once you have an idea of what you need, it will be easier to narrow down the options. Most software packages offer templates, but the software can be quite expensive. Templates can be purchased individually online, as well. But as a small business owner, you know that running a business is expensive, and you want to cut costs whenever you can. The Internet is filled with tools to help run your business, including free invoice templates.
Invoice templates improve your productivity. Even if you feel more than willing to shoulder most of the workload, creating your own invoices does not represent the best use of your time. Use invoice templates to assure than you and all your employees devote their time to the business's most important and productive activities. Most small businesses depend on an office manager for performance of the whole range of routine management tasks-all the bookkeeping, payroll, correspondence, scheduling, and personnel matters. If the office manager gets bogged-down in any single task, all of the other work suffers. Billing probably ranks second on the list of a business manager's priorities, right behind managing the payroll. Therefore, the more efficiently the business manager can manage accounts receivable, the more efficiently he or she can move on to other urgent tasks. Most templates allow for routine summaries of billing and payments, and most are compatible with other business software, making preparation of profit and loss statements and forecasts more efficient and accurate.
